Member records are held on Canadian servers. We use a small number of service providers to run the platform, and each of them handles only the data needed for their part of it.
| Provider | What they handle |
|---|---|
| Our membership platform | The membership platform and website. Your member record, registrations and invoices are stored here, on Canadian servers. |
| Our payment processor | Card payments. Card details are entered directly with our payment processor and are never seen or stored by CPD House. We receive only confirmation that a payment succeeded. |
| Our video platform | Secure video hosting for on-demand sessions. |
| Our live chat provider | The live chat widget, including any message you send through it. |
| Analytics and advertising tools | Website analytics and advertising. These tools set cookies and may track your visit across sites. They do not receive your licence number or payment information. |
Where a registration is refunded or withdrawn, we notify the relevant regulator that the hours were not completed. This is the only circumstance in which we contact your regulator about you. It exists so that documentation issued before a withdrawal cannot be used to support a claim for hours that were not taken.
Member records, registrations and invoices are kept for six years. This reflects the retention periods regulators expect of their own licensees, so that we can help if you are audited some years after the fact. Marketing preferences are kept until you change them. Live chat transcripts and support correspondence are kept for as long as they are useful to resolving the matter and for a reasonable period afterwards.
We may update this policy from time to time. The version published on this page is the one that applies.
